Administration/Clerical Position

Administration/Clerical staff compiles and maintains records of business transactions and office activities of the cemetery by performing the following duties:
Essential Duties and Responsibilities
- Processes contracts, accounting and marketing records including recording and inputting information in database.
- Copies data and compiles records and reports.
- Records orders or services.
- Prepares, issues, and sends out receipts, bills, policies, invoices, statements, and checks.
- Addresses complaints with customers and makes decisions regarding customer complaints and resolution of complaints.
- Operates computer terminal to input and retrieve data.
- Operates office machines such as computer, typewriter, adding, calculating, and duplicating machines.
- Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
- Greets and assists visitors by selling and processing the paperwork for burial sites and related services.
- Delegates assignments to grounds personnel in the absence of the Cemetery Director. Makes determinations, judgments and decisions regarding assignments and related matters.
- Balances deposit slips and activity reports both daily and at month end. Handles issues and concerns regarding deposits and activity reports and determines whether investigations are necessary.
- Provides assistance with burials by leading in, witnessing, and making burial tags.
- Assists in or completes duties of Cemetery Director in his/her absence.
- May assist in training other employees and related personnel decisions.
- Other duties may be assigned.
Supervisory Responsibilities:
- Employee supervises those employees to whom the Employee assigns duties and responsibilities as referenced above.

Education and/or Experience:
Associate’s degree from college; or two to four years related experience and/or training; or equivalent combination of education and experience.
Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills: To perform this position successfully, an individual should have knowledge of Spreadsheet software, Word Processing software, and database software.

While performing the duties of this position, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision.
